Circle of Excellence is designed as a recognition and incentive experience, with program air arrangements that include economy class airfare for winners. Consecutive multi-year winners are eligible for business class seating in recognition of their sustained achievement. This enhanced travel benefit is part of the established winner experience. Travelers interested in exploring additional upgrade options are welcome to coordinate directly with their CWT air agent at their personal expense.

Please plan to depart the U.S. on Sunday, September 13, to arrive in Lisbon no later than 5:00 PM on Monday, September 14. Depart Portugal at your leisure on Saturday, September 19.

Passport Required

All travelers must have a valid passport. Your passport must be valid for at least 6 months past your departure date from Portugal — meaning, if your passport expires before March 14, 2027, you’ll need to renew before the program.

Routine processing currently runs 4–6 weeks; expedited 2–3 weeks. Mailing can add up to 2 weeks each way — plan for 6–8 weeks total for routine, 4–5 for expedited. Apply early. travel.state.gov/passports.

Portugal is part of the EU and the Schengen Area. For the September 14–19, 2026 program dates, no ETIAS travel authorization is required — a valid passport is all you need to enter.

Transportation

Home-to-airport transportation for you and your guest is reimbursable in accordance with SMPA’s Expense Policy.

Ground transportation between Humberto Delgado Airport (LIS) and Penha Longa Resort is arranged for you and your guest on the main program dates of Monday, September 14 and Saturday, September 19. The transfer is approximately 30 minutes by car.

If you’re arriving before September 14 or departing after September 19, you’re responsible for your own ground transportation arrangements.

On Wednesday, September 16, the whole group sets sail together for the Regatta Team Challenge.

Set sail for the signature event of the FY25 Circle of Excellence. About the program

What are the program dates?

The program arrival date is Monday, September 14, 2026, and the departure date is Saturday, September 19, 2026. Overnight flights are expected, with flights departing on Sunday, September 13.

Is there a tentative agenda for the trip?

Yes — see the Agenda page. More information will be provided as we get closer to the trip; please note that the schedule of events is subject to change.

Is there a program app?

Yes. As we get closer to the trip, you’ll receive an email with instructions to download the program app. From the app you can:

  • See detailed information on your personalized agenda
  • Receive up-to-the-minute notifications
  • Get around easily using the map of the hotel
  • And much more
May I bring a guest?

Each Circle of Excellence winner may bring one guest. Your guest must be 21 years of age at the time of the trip. In consideration of the enjoyment of all participants, please note that Circle of Excellence is for adults only. No additional guests will be permitted.

Please note that guests may not be a customer, competitor, vendor, or current/former employee of Sumitomo Pharma America, Inc., its legacy companies, or any of its affiliates—except in the case of a spouse or domestic partner.

When does registration close?

Registration opens July 7 and closes July 21. We recommend completing your registration as soon as possible to secure your activity preferences.

When will I receive confirmation of my registration?

You will receive an email confirmation immediately after you submit your online registration form.

May I make changes to my registration?

If you need to make changes to your registration, please submit your request to smpaeventservices@spmei.com.

What if I am unable to attend the Circle of Excellence trip?

If you are unable to attend the trip for any reason, you must respond to the registration invitation to decline.

Please note that this trip cannot be deferred. If you decline the trip, you will receive a one-time taxable payment of $7,500, paid out after the trip has occurred. A winner who separates from the company after the end of the performance period but before the trip date will not receive the payout.

Do I have to register if I am unable to attend the trip?

Yes. You must respond to the registration invitation to decline.

What is the suggested attire?

September averages a high of 77°F (25°C) and a low of 59°F (15°C). Atlantic evenings can turn cool; packing light layers is recommended.

Daytime / Evening Attire — Resort Casual. Lightweight, comfortable clothing and walking shoes are recommended, particularly for navigating Portugal’s historic cobblestone streets. Activity-specific attire will be noted on your individual Activity Confirmation. Light layers are recommended, as mornings and evenings can be cool.

Welcome Dinner Attire (Monday, September 14) — Resort Casual. Casual dresses, skirts, lightweight pants, collared shirts, or blouses paired with dress shoes or sandals. Portions of the evening will take place outdoors; high heels are not recommended.

Regatta Team Challenge Attire (Wednesday, September 16) — Nautical Casual. Non-slip shoes, sunscreen, and a light layer are recommended for time on the water.

Awards Celebration Attire (Thursday, September 17) — Cocktail. Elegant dresses, jumpsuits, or chic separates for women; dress shirts with slacks, sport coats, or suits for men. The celebration includes time outdoors on gravel and garden paths. For comfort, we recommend dress shoes, block heels, wedges, elegant sandals, or dressy flats. Stiletto heels are not recommended.

I’m interested in extending my trip. How do I manage pre/post-planning?

An extension can be requested during the registration process. Please do not confirm your flights until the requested extended dates have been confirmed. Any early arrivals or extended departure dates will be at your expense on your personal credit card and will not be covered. We will work with you to ensure billing is set up accurately for extended dates.

Important: We can help coordinate extensions at Penha Longa Resort only. If you have extensions at other locations, all transfers and accommodation are at your own expense.

Will I owe taxes on my Circle of Excellence trip?

No. The Circle of Excellence incentive trip is grossed up, meaning the company covers the taxes associated with the value of the award. While you will see the value of the trip reflected as taxable income on your year-end tax statements, you will not incur an out-of-pocket tax obligation related to the award, as the associated tax liability is included as part of the program benefit.

Please note that individual tax situations may vary. Consult your tax advisor if you have questions about your personal circumstances.

Will I receive a stipend for meals on my own?

Yes. Each Circle of Excellence winner will receive a $1,500 stipend to cover meals on your own during the program. The stipend is processed through payroll ahead of the trip.

TRAVEL & TRANSPORTATION

Air & Ground Transportation

Is a passport required?

Yes. All travelers must have a valid passport. Your passport must be valid for at least 6 months past your departure date — if your passport expires before March 14, 2027, you’ll need to renew before the program. Routine processing currently runs 4–6 weeks or longer; expedited is 2–3 weeks. travel.state.gov/passports.

Important: The name on your passport must exactly match the name on your airline ticket, including any middle name or middle initial.

How do I book my airline tickets?

Air travel is arranged for you and your guest by CWT. During registration you will be asked to provide traveler profile information for both you and your guest. Please have the following information available to expedite registration:

  • Full name (as it appears on your official travel documents)
  • Date of birth
  • Departure city / airport code
  • KTN (Known Traveler Number)
  • Frequent flyer number, etc.

Once registered, CWT will reach out within 2 business days with travel options based on your preferences.

When will I receive my e-ticket for air travel?

Flight itineraries will be emailed within 2 business days of completing the registration by CWT. If you do not receive your itinerary, please contact CWT, Monday–Friday between 9:00 AM – 5:30 PM ET at 763-332-3436 or via email at smpatravel@mycwt.com.

Can I upgrade my flights to business or first-class seating?

Circle of Excellence is designed as a recognition and incentive experience, with program air arrangements that include economy class airfare for winners. Consecutive multi-year winners are eligible for business class seating in recognition of their sustained achievement. This enhanced travel benefit is part of the established winner experience. Travelers interested in exploring additional upgrade options are welcome to coordinate directly with their CWT air agent at their personal expense.

Are checked bags covered?

One checked bag each is reimbursable for you and for your guest.

Is Fast Track service included?

To ensure a seamless welcome to Portugal, Circle of Excellence guests will enjoy complimentary Fast Track service at Humberto Delgado Airport on arrival and departure.

Meet & Greet — Your dedicated VIP airport representative will greet you at the arrival gate with personalized signage and assist you throughout your arrival.

Fast Track Immigration & Customs — Enjoy expedited guidance through immigration and customs, including assistance after baggage claim.

Ground Transportation — Complimentary transfers will be provided between Humberto Delgado Airport and Penha Longa Resort on the main group arrival and departure days. The transfer is approximately 30 minutes.

Is ground transportation provided to and from the airport and hotel?

Ground transportation to/from the airport to the Penha Longa Resort will be arranged for you and your guest on the main program dates of Monday, September 14 and Saturday, September 19, 2026.

If you are planning to arrive before September 14 or depart after September 19, you will be responsible for your own ground transportation arrangements.

How far is Humberto Delgado Airport (LIS) from the hotel?

It is a 30-minute car transfer to the Penha Longa Resort.

Will round-trip transportation from home to airport be covered?

Yes. Transportation expenses for the trip are reimbursable and can be expensed in accordance with your company’s Expense Policy.

Is transportation covered if I extend my trip before or after the program?

Transportation for pre- and post-program extensions outside the Penha Longa Resort is on your own and expensable up to $250.

ACTIVITIES

Sponsored Activities

How many sponsored activities may I choose each day?

You and your guest may each select one activity on Tuesday, September 15. You and your guest are not required to select the same activity. You may also prefer to spend the “Day at Leisure — On Own.” If you select “Day at Leisure — On Own,” you will not receive compensation for declining a sponsored activity.

On Wednesday, September 16, the program hosts a group activity for all winners and guests — the Regatta Team Challenge.

Please note the activities are subject to change based on the minimum/maximum number of participants required. If your first activity preference is not available, please have a second choice in mind. Activities will be finalized upon the closing of event registration.

What if I want to take advantage of additional activities while in Portugal?

Once you have completed registration, please contact Registration Services at smpaeventservices@spmei.com and they will provide you with further information for the booking. Please note, any additional activities will be at your own expense.

PENHA LONGA RESORT

Hotel Information

What are the hotel check-in and check-out times?

Check-in: 3:00 PM
Check-out: 12:00 PM

Every effort will be made to accommodate early arrivals; however, early check-in cannot be guaranteed. If your room is not yet ready upon arrival, you are welcome to begin enjoying the resort’s amenities.

Will I be required to provide a credit card for incidental charges at check-in?

Yes, you will be required to provide a personal credit card and valid photo ID at check-in. The program will cover your sleeping room, tax, and scheduled group meal functions included in your program agenda. Any incidental charges — in-room movies, minibar, dry cleaning, additional snacks or beverages outside of provided meals — are at your own expense.

Is complimentary Wi-Fi available in my hotel room?

Yes. Complimentary Wi-Fi is available in all guest rooms and throughout the resort.

What’s included in my room?

Every room comes stocked with a hair dryer, iron, and international power adapter. You’ll also find a Nespresso coffee machine, DIPTYQUE bath amenities, bathrobes and slippers, USB charging ports, and complimentary Wi-Fi.

Is smoking permitted at the hotel?

Smoking is not permitted inside guest rooms. Smoking is allowed only in clearly marked, designated outdoor smoking areas on the resort grounds.

Is there a fitness center at the Penha Longa Resort?

Yes. Guests of the Penha Longa Resort enjoy complimentary access to state-of-the-art fitness facilities. Open 24/7, the hotel fitness center includes cardiovascular and weight-training equipment.

General Information

What time zone is Portugal in?

Portugal observes Western European Time year-round and participates in Daylight Saving Time. During the trip, the time difference will be:

  • 5 hours ahead of Eastern Time (New York)
  • 6 hours ahead of Central Time (Chicago)
  • 7 hours ahead of Mountain Time (Denver)
  • 8 hours ahead of Pacific Time (Los Angeles)
Will my cell phone work in Portugal?

Please contact your mobile provider for information about international calling plans before your trip.

What’s the emergency number in Portugal?

Dial 112 for emergencies — police, fire, or medical — anywhere in Portugal. It’s free from any phone, and operators speak English.

What is the currency in Portugal?

Portugal’s currency is the Euro (€). U.S. dollars aren’t widely accepted, so plan to pay in euros or by card.

Visa and Mastercard are taken nearly everywhere, including contactless payments and Apple Pay. American Express, Diners Club, and prepaid gift cards are far less commonly accepted — bring a Visa or Mastercard as your primary card.

For cash, Multibanco ATMs are widely available throughout the country and on the resort property.

Before you travel, give your bank or credit-card issuer a heads-up about your trip dates — this avoids blocked transactions abroad. Also worth asking about international transaction fees, which some cards waive and others charge per purchase.

What are the electrical outlets like in Portugal?

Portugal uses Type C and Type F (two round-pin) outlets at 230V/50Hz. U.S. plugs require an adapter. Most laptops and phone chargers handle the higher voltage without issue; hair tools such as flat irons and curling irons may need a voltage converter.

Hair dryers and an international adapter will be provided in your room.

How should I plan to get any purchased and received goods back to the U.S.?

Courtesy shipping of items received during the program will not be provided. Be mindful to leave space in your checked and carry-on luggage for program giveaways and souvenirs. All shipping costs will be at your own expense.
